Program Assistant, Policy Team and Child & Adolescent Action Center (CAAC) - Arlington VA
|
The Program Assistant is to provide administrative and general support to the Policy Team and the Child & Adolescent Action Center (CAAC).
Reports To: Director of Policy & Legal Affairs and Director of the Child & Adolescent Action Center (CAAC)
Essential Functions: Administrative Assistance: Serve as department’s point of contact for incoming calls and emails; respond to general inquiries and route other queries to appropriate team members.
*Handle incoming/outgoing mail for Dept. Directors as needed; maintain team calendar; coordinate scheduling, including that of team meetings and other meetings as needed; draft and distribute notes. *Process purchase orders, credit card reconciliations, photocopying and faxing. Prepare and maintain meeting materials and related responsibilities. *Arrange staff travel as needed. Process travel authorizations and reimbursements. *Help organize office procedures, filing systems, and resource materials. *Respond to NAMI state and affiliate office requests for materials, resources and provide technical assistance as needed.
Written materials assistance: Assist with preparation of reports, presentations, and correspondence: including editing, proofreading, design and layout and posting to websites.
*Maintain and distribute NAMI publications (online and hard-copies), resources, legislative documents and relevant advocacy materials for NAMI leaders, members, the public and other interested parties.
Meeting support:Provide logistical support in preparation for NAMI’s annual Convention and other meetings as needed. *Assist Directors with staffing Board of Directors’ committees, including preparation for quarterly Board meetings, monthly conference calls, maintenance of NAMI’s Public Policy Platform and other relevant documents.
Technological assistance: Maintain and update the policy team and CAAC web sites; assist in developing the website format for the policy team and CAAC; drafting, editing and posting advocacy alerts; manage email listservs; and provide basic IT assistance to staff as requested.
Assist NAMI Medical Director: Review and post research articles, coordinate regularly scheduled conference calls; draft and distribute notes for these calls.
Other Duties: Perform other duties assigned by the Director, Policy and Legal Affairs and the Director, C&A Action Center.
Minimum Qualifications:
•Strong organizational skills, ability to maintain multiple projects; •Strong administrative, logistical, communications and collaboration skills; •Proficient in use of Microsoft Office Suite Applications (Word, Outlook, PowerPoint, Excel); •Proficiency and experience with web content design and posting; •Experience with or interest in acquiring skills needed to design reports; •Experience working with social media and social networking; and •Interest in public policy and mental health issues.
Desired Qualifications:
•Experience in project management is a plus.
Education:
Four year college degree or equivalent work experience.
