Program Assistant, NAMIWalks - Arlington VA

Job Description
NAMI (the National Alliance on Mental Illness) is the nation’s largest grassroots mental health organization dedicated to improving the lives of persons living with serious mental illness and their families. Founded in 1979, NAMI has become the nation’s voice on mental illness, a national organization including NAMI organizations in every state and in over 1100 local communities across the country who join together to meet the NAMI mission through advocacy, research, support, and education.

We currently have an opening for a Program Assistant who will provide administrative support for NAMIWalks national program.

Reports To: National Walk Program Director

Essential Functions:

•Maintaining and updating all NAMIWalks related management reports

•Assisting with and coordinating all NAMIWalks communications (conference calls, webinars, electronic and written correspondence)
Maintaining and updating all listserv lists used to communicate with sites participating in the program
Coordinating all conference call communications and preparing and sending out post-call notes and/or minutes

•Interfacing with all WALK program vendors regarding the securing and shipping of materials for all sites in program and helping solve all problems for walk sites as necessary
Maintaining online reports regarding distribution information

•Gaining an understanding of the WALK program in order to effectively communicate with staff and volunteer walk coordinators in field about all aspects of program

•Working with the all NAMI departments to keep them informed about the latest information on the NAMIWalks Program in order to maintain a strong presence in the Arlington office

•Coordinating with the Finance Department regarding all aspects of billing of fees and reimbursement of on line donations to participating sites and maintaining a master report of all transactions

•Coordinating and assisting in preparing materials needed for NAMIWalks
Preparing all NAMIWalks related mailings and publicity efforts
Preparing and maintaining NAMIWalks Program manual (hard copy and online)
Keeping all NAMIWalks materials updated and providing them to walk sites as requested

•Performing all other NAMIWalks Program related administrative support duties as may be assigned by program director

Minimum Qualifications:

•Good communication skills, grammar and diction
•Detail oriented with good organizational skills
•Ability to handle multiple tasks and assignments simultaneously
•Common sense and adaptability
•Ability and initiative to solve problems
•Strong computer and database management skills
•Strong understanding of and commitment to customer service
•Self-assured and comfortable working with an off site manager as a part of a virtual team

Desired Qualifications
•3 to 5 years experience as an administrative assistant or related work with a proven ability to work as part of project focused team
•An understanding of how to use social media to connect with others
•A basic understanding of HTML coding
•Experience using the Microsoft Sharepoint system

Education: Bachelor Degree preferred

Must pass background check.
